Set Up WhatsApp Business Properly: A 30-Minute Guide for Ghanaian Trades

Your clients are already on WhatsApp. They will send you a photo of a gate they like, ask your price, and decide whether you are a real business from how the reply looks.
The free Business version of the app does things the ordinary one cannot. Thirty minutes, once.
1. The profile (10 minutes)
Install WhatsApp Business — you can keep your normal WhatsApp on the same phone with a second number, which is the setup most owners eventually want anyway.
Then fill in everything:
- Business name exactly as on your signboard and invoices
- Category — "Metal fabricator", "Carpenter", "Plumbing service"
- Description in the words customers use: "Gates, burglar proof, railings, tank stands and repairs. Accra and Tema."
- Address (or service area), hours, email, and a link — your showroom page or Google profile
- Profile photo: your best finished job or a clean logo. Not a selfie, not a stock image
2. The catalog (15 minutes, and it does the selling)
This is the feature most trades never switch on, and it is the best one.
- Add 10 – 15 items — "4m sliding gate", "burglar proof (per window)", "tank stand 10ft", "staircase railing", "carport"
- One clear daylight photo each, of your own work
- A short description with the specification: "2" square pipe frame, 1.2mm sheet, primed and finished in charcoal"
- Price or price range where you can. "From GH₵ 9,800" answers the question everyone asks first and filters out people who were never going to buy
Now when someone asks "what do you do?", you send the catalog. One tap, and they scroll through your work instead of reading a paragraph.
3. Automatic messages (3 minutes)
- Greeting message, sent to new enquiries:
Thank you for contacting Kwame Metal Works. Send a photo of what you need and the size, and we will send you a written quotation today. That single sentence trains every new customer to give you what you need to quote.
- Away message, outside working hours:
Thank you — we are closed now and will reply from 7am. For urgent repairs call 024 XXX XXXX.
4. Quick replies (5 minutes)
Save the answers you type every day, with a shortcut each:
/price— "Prices depend on size and design. Send the width and height of the opening plus a photo, and I will send a written quotation with the specification."/deposit— "We require a 50% deposit to confirm the order and buy materials. Balance on completion. MoMo: 024 XXX XXXX (Kwame Metal Works)."/location— your address, digital address and a landmark/time— "Fabrication is 7 working days from deposit, installation within 2 days of completion."
5. Labels, so nothing is lost
Label every chat: New enquiry · Quoted · Deposit paid · In progress · Awaiting balance · Completed. Then your chat list has a shape, and on Monday morning you can see every enquiry you have not answered.
Labels are the ceiling of what WhatsApp can do, though. They tell you a chat exists; they cannot tell you what was quoted, what is owed, or which job is late — that is the wall every growing workshop hits: running your workshop without WhatsApp chaos.
6. A link people can tap
Create your click-to-chat link (wa.me/233XXXXXXXXX) and put it everywhere: your Google Business Profile, your Facebook page, your showroom page, your signboard as a QR code, your invoices. Every tap is a conversation that skips saving your number.
The daily habits that make it pay
- Reply fast. In Ghana the first workshop to answer with a clear price range wins a large share of jobs before rivals open the message.
- Post your work to Status weekly. Your contacts include every past client and everyone they might mention you to. This is free advertising to exactly the right list.
- Send quotations as a document, not a chat message. A numbered PDF quotation looks like a business; a number typed in a bubble looks like a guess. See the quotation template.
- Never negotiate in voice notes alone. Confirm the agreed price and specification in text, always.
- Ask for the Google review through the same chat at handover: Google Business Profile setup.
Common questions
Is WhatsApp Business free? The app is free. Optional paid features exist for larger companies; a workshop needs none of them.
Can I use it on the same phone as my personal WhatsApp? Yes, with a second number — dual SIM or an eSIM. Keeping the two separate is worth the trouble.
Will I lose my chat history if I switch? You can migrate your existing account to WhatsApp Business, keeping chats. Back up first.
Should I put prices in the catalog? Ranges, yes — "from GH₵ X". It saves you hours of answering the same question and filters out non-buyers.
